This position's primary responsibility includes the professional handling of employee concerns and disciplinary issues.
This position is also responsible for approving employee terminations, writing employee consultations, responding to unemployment notices, responding to employee complaints as well as general office duties.
The Human Resource Generalist must posse excellent customer service skills.
It is an essential function of this position to be able to communicate effectively with employees, have attention to detail and have a strong understanding of employment law.
DETAILED WORK ACTIVITY Employee Counseling and Separations - Consult with Managers and Regional Managers regarding employee reprimands and other issues surrounding employees.
- Assist Store and Regional Managers in writing and developing employee consultations.
- Work with the Human Resource Manager on writing management consultations.
- Examine files or documents to obtain information.
- Approve employee terminations after ensuring proper documentation.
- Verify any questionable terminations with the Human Resource Manager.
- Notify the Human Resource Manager on all key issues.
- Dispute unemployment claims and file timely appeals to determinations.
- Track unemployment paid, denials and appeals.
- Follow-up on Exit Interviews and separations to track reasons for turnover.
Employee Concerns - Work with the Human Resource Manager on responding to employee complaints and concerns.
- Follow up on complaints filed.
- Notify the Human Resource Manager on complaints that involve legal concerns.
- Type up conduct investigations forms and forward to Human Resource Manager for review.
- Assist in the investigation of complaints.
- Prepare and send follow-up documentation for parties involved in complaints.
- Conduct proactive audits to ensure compliance with policies and procedures.
Employment Policies - Be familiar with the company handbook, policies and procedures.
- Answer questions from store managers on employment policies.
- Send any policy changes or recommendations to the Human Resource Manager.
- Enter management background checks and approve hire/promotions after reviewing results and discussing any denials or issues with the Human Resource Manager.
- Stays current in employment laws and regulations.
Employee Leave of Absences - Send employee leave paperwork as requested.
- Approve leave requests with the Human Resource Manager.
- Track all types of employee leaves (FMLA, personal, military, etc.
) in HR software.
- Follow-up with employees taking leaves on return dates.
- Monitor employees without paychecks to see if leave policies apply.
- Notify the Human Resource, Payroll and Benefits Managers if an employee will not return with-in 12-weeks.
- Process all requests for Long-Term Disability, AD&D and Life Insurance.
- Inform benefits and payroll of any dates that management will be off of work due to an illness or injury.
- Be familiar with current state and federal laws regarding employee leaves.
Employee Injuries and Safety - Maintain Worker's Compensation records and process billing for injured workers.
- Maintain customer injury / illness records.
- Monitor employee Worker's Compensation Claims.
- Track injuries for trends.
- Work with Human Resource Manager on getting injured employees back to work.
- Discuss any large claims with Human Resource Manager for follow-up as necessary.
- Attend claims calls/meetings with insurance carrier.
- Assist in the employee safety program.
- Report Worker's Compensation Claims to the Insurance Carrier.
Property /Liability - Report property and liability claims, including robberies.
- Maintain records for property and liability claims.
- Monitor stores for cash-handling issues and shortages.
- Track stores with large/continuous cash-shortages/adjustments and deposit concerns.
- Assist Human Resource Manager in government audits.
Administrative / Compliance / Reporting Duties - Monitor and update harassment training for all management staff.
- Compile monthly summary of consultations for Senior Management.
- Verify re-hire status of past employees sent via email.
- Government reporting requirements for race, gender, etc.
- Labor law poster compliance.
- Track driver license and proof of insurance for all employees who drive while on the job when hired and annually.
Training and Development - Work with the Human Resource Manager to promote diversity and developing diversity initiative.
- Assist in developing training /educational materials on HR related topics.
- Attend meetings as requested.
Benefits Management - Manage employee benefit plan renewals, implementations, and requests for proposals processes.
- Partner internally with Finance and Accounting by delivering accurate analytics and preparing for and responding to related benefit plan audits and entering and maintaining benefit plan contracts.
- Ensure outside service providers deliver to the service needs and requirements of the company.
- Plan, monitor and execute on all compliance related deadlines and day-to-day activities; including but not limited to ERISA, ACA, IRS regulations and other legislative rules that impact benefit matters.
- Provide leadership to the benefits administration team through mentoring and development, and creating a positive, collaborative learning environment.
- Work with the HR Team Members to manage benefits system integrations with third-party administrators.
- As part of a team, develop, coordinate, manage benefit plans aimed at increasing benefit plan knowledge and awareness.
- Review and reconcile benefits plans.
- Develop procedures for benefit administration, including processes and deadlines.
401k Benefits - Determine and provide information to third parties for 401k eligibility.
- Send compliance notices and plan documents to employees and provide information requested by 401k third party administrator.
- Complete census verification forms for 401k third party administrator.
- Upload newly eligible employee 401k deductions and eligibility dates in payroll software.
- Provide information to Benefits Manager to verify census, audit, testing and all other reports required for 401k plan.
Other Responsibilities - Insure confidential information is locked or properly disposed of.
- Maintain confidentiality regarding benefit, payroll, and human resource information.
- Filing and scanning.
- Maintain records, reports and files.
- Call stores when necessary.
- Specialized projects and other duties as assigned.
- Generate reports for field as requested.
- Assist in human resource questions and concerns.
- Be familiar with the company handbook, policies and procedures.
- Copy the Human Resource Manager and Directors of Operations on all correspondence with the field.
- Communicate with email in a professional and courteous manner.
- Handle phone calls in a professional and courteous manner.
- Work with the office and field in a positive and friendly manner.
Paperless Initiative / Electronic Data - Make improvements to practices to promote the company's paperless initiative.
- Work to eliminate paper whenever possible, converting prior duties involving paper to an electronic format.
- Use EchoSign or other electronic program to request signatures and data from the field.
- Use Live IQ or other systems to retrieve necessary data.
- Use the on-line Subway Surveillance system to follow-up on complaints, concerns and injuries and copy video as needed.
JOB PREREQUISITES - Two years of Human Resource or Benefits experience.
- Possess strong organizational and interpersonal skills.
- Strong verbal and written communication skills.
- Experience in Microsoft Word, Outlook, etc.
- Advanced Microsoft Excel skills.
- Must have excellent customer service skills.
- Knowledge of employment laws and regulations.
